FUNCTION OF THE JOB:  Reports directly to the Provost and is responsible for leading and directing the daily operations of the Registrar’s Office.  Participates actively in all Ellucian projects as pertaining to student records; responsible for certifying degree requirements for undergraduate students in accordance with University policy; serves as the University’s transfer articulation contact/officer; manages the Registrar’s Office budget in accordance with University policies; responsible for catalog development and maintenance/curriculum issues and provides input on academic policies.

DUTIES AND RESPONSIBILITIES:

  1. Oversees/maintains student academic files in compliance with all regulatory requirements.
  2. Oversees all operational activities in the areas of academic records, grades/grade collection/grade changes, transcripts, graduation, and course scheduling.
  3. Manages the Registrar’s Office staff to perform all processes/procedures in a timely and effective manner.
  4. Oversees all operational activities in the areas of academic records, transcripts, graduation, VA certification, catalog development and maintenance and curriculum form processes.
  5. Collaborates with members of the university committee to monitor existing policies.
  6. Complies with the Family-Rights and Privacy Act and other applicable laws and regulations to ensure the integrity of student academic records.
  7. Oversees transcript compliance for all new/returning/alumni records.
  8. Issues grade reports and transcripts.
  9. Coordinates transcript evaluations (both domestic and international).
  10. Oversees Enrollment Verification processing.
  11. Supervises and manages all Registrar Office personnel and ensures they perform all processes/procedures in a timely and effective manner.
  12. Determines and certifies graduates upon completion of degree requirements.
  13. Reviews student files for accuracy and legal compliance.
  14. Responsible for student registration activities.
  15. Performs other duties, tasks and projects as assigned.

ESSENTIAL FUNCTIONS:

  1. Must have ability to establish long term relationships with colleagues at various levels of the organizational structure.
  2. Must be able to handle confidential and sensitive information in a professional manner.
  3. Must be able to communicate effectively with various constituencies such as students, faculty and staff.
  4. Must have knowledge of student information systems (preferably Ellucian products) and ability to use technology to train and implement professional development.
  5. Must have working knowledge of FERPA and the ability to assist faculty, staff, and students in understanding FERPA policies.

PERSONAL INTERACTION:

Frequent contact is made with all levels of University personnel, students and outside organizations in relation to routine departmental services and duties and in providing assistance and information as requested.

SUPERVISION EXERCISED:

Direct supervision is exercised over the Registrar’s Office staff (2 exempt/professional and 3 hourly/clerical) and student staff workers.

REQUIREMENTS:

A Bachelor’s Degree is required for this position as well as the ability to create and maintain collaborative and productive relationships with campus departments and personnel. Applicant must be capable of implementing successful practices in academic recordkeeping and possess a high level of conceptual, analytical, and organizational skills.  Proficiency with various computer applications and programs is required. A Master’s Degree and three years’ experience in a related field are preferred for this position.
