Responsibilities

The Office of Advancement at Truman State University has opened the search for an Administrative Assistant who will perform a number of duties and functions necessary for the efficient and effective operation of the department, including direct administrative support for the Vice President for University Advancement.  Under the direction of the Coordinator of Advancement Services for the Office of Advancement, this position serves as the public face of the Office of Advancement and is the point of contact for alumni, faculty, staff, students, parents and all other visitors.  This position must maintain professionalism and confidentiality.  Duties include scheduling appointments; coordinating travel; assisting with events; welcoming visitors; working with a wide array of individuals including major donors and members of Truman's Foundation Board and Alumni Board; monitoring telephones and organizing mail; handling budget and requisition processes; data entry; gift processing; maintaining databases; preparing and printing mail merges; and filing and various other clerical/administrative duties as needed or assigned.  Assisting with occasional weekend and evening events may also be required.

Qualifications

Successful applicants must possess a strong work ethic; be dependable, self-motivated and detail oriented; exhibit excellent personal organizational and time management skills; possess a friendly, positive and professional demeanor; and have sound written and oral communication skills.  Additional required qualifications include a high school diploma or an equivalent combination of education and work experience from which comparable knowledge, skills and abilities can be acquired; demonstrated proficiency in word processing and spreadsheet software (i.e. Microsoft Word, PowerPoint and Excel); excellent interpersonal and customer service skills; ability to prioritize and meet deadlines; ability to work well with others and independently; and the ability to maintain high standards of confidentiality.

Preferred qualifications include college coursework or an associate's degree, three or more years secretarial/office experience in a similar setting, and experience in a higher education setting.
